iCare Malta operates a network of elderly homes and care facilities, providing compassionate, high-quality services for residents requiring assisted living, medical supervision, and rehabilitation. With a commitment to improving care standards through innovation, iCare sought to implement a digital system that would streamline day-to-day operations and support healthcare professionals in delivering efficient and consistent care.

As iCare’s operations expanded, managing residents’ records, medications, appointments, and shift handovers through manual and paper-based systems became increasingly inefficient. Information was fragmented across different teams, from nurses and doctors to carers and administrative staff, leading to challenges in maintaining real-time accuracy and accountability.
The management team recognised the need for a centralised platform that could support secure data handling, digital workflows, and clear audit trails, while remaining intuitive enough for users of different roles and technical backgrounds.
We developed a web-based medical management system designed specifically for the iCare team. The platform was built through a collaborative, user-centred approach, working closely with a team of professionals including senior nurses whose extensive clinical experience from both Malta and the US helped shape the system around real-world nursing workflows.
By combining their practical insights with our technical expertise, we ensured the platform reflected how caregivers actually work on the ground, from medication management to shift reporting. The result is an interface that feels familiar and intuitive for staff while meeting the highest standards of medical documentation and compliance.
Our design focused on clarity, accessibility, and operational efficiency, enabling healthcare professionals to perform key tasks, such as medication logging, reporting, and care assessments.
To ensure reliability even in low-connectivity environments, the system was built with offline mode capability, allowing users to continue entering data when internet access is unavailable, with automatic synchronisation once reconnected.


To centralise all resident information, enabling care staff to easily access medical histories, personal details, and care plans in one unified profile.
We built a comprehensive resident profile system that consolidates personal and next of kin data, allergies, dietary requirements, status flags, medical history, and dependency levels. Each profile integrates seamlessly with medication and reporting modules, providing staff with a real-time, holistic view of every resident’s care journey.


To simplify daily reporting for carers and nurses, ensuring that every activity, observation, and update is recorded accurately and efficiently.
The reporting module enables quick entry of daily notes, fluid intake, bowel movements, and other observations. Information can be filtered, exported, and reviewed through structured reports, while supervisors can monitor patterns across time for better care planning and performance evaluation.


To ensure safe and traceable medication administration across all roles within the care team.
We developed a comprehensive medication management system supporting both single and bulk administration. Each prescription includes dosage, timing, and administration method, with optional flags for self-administered or skipped doses. Doctors can digitally sign off medications, with all actions automatically recorded in the audit trail, reinforcing medical accuracy and compliance.

To guarantee uninterrupted access to critical data and maintain full transparency across all user actions.
An offline mode enables users to continue recording updates even without internet connectivity, with data automatically synchronised once the connection is restored. A detailed audit log tracks all system actions, from data edits to exports, capturing timestamps, user identities, and device details to maintain accountability and regulatory compliance.

To digitalise essential health assessments and ensure consistent, periodic evaluation of residents’ well-being.
The system includes digital forms for clinical assessments such as the Barthel Index, Braden Scale, and Risk Evaluations, together with a detailed Resident Portfolio that captures each individual’s background, preferences, and support needs.
Each assessment and portfolio entry can be completed, stored, and exported directly from the system, allowing healthcare professionals to track progress over time and maintain both accurate clinical records and a holistic view of every resident.
The iCare Medical System was shaped by the people who use it every day, being nurses, carers, and healthcare professionals dedicated to improving the lives of residents. Built through ongoing feedback and collaboration, the platform continues to evolve around their real needs, making care delivery simpler, safer, and more connected.
